The formula: role, task, context, format
Give the AI a role. State the task. Add context. Name the format. Four ingredients. That is the whole secret.
- Role. "You are a practice administrator for a therapy practice." This sets the lens.
- Task. "Draft an intake email for new clients." This sets the job.
- Context. "Solo practice, warm tone, under 150 words." This sets the boundaries.
- Format. "As an email with a subject line." This sets the shape.

Iterate out loud
First drafts are starting points. Reply with "shorter," "warmer," or "add a line about fees." Treat it like directing an assistant, not placing an order. Two or three rounds beats one perfect prompt.
Three mistakes beginners make
- Too vague. "Help me with marketing" gives you fluff. Name the exact piece.
- No format. "Just write something" gives you a wall of text. Ask for the shape you want.
- Accepting the first draft. The first output is raw material. Your edit is what makes it yours.
When to stop writing and start copying
Once you know the formula, you will also see its limit. Writing every prompt from scratch costs time. A tested prompt library hands you the finished versions so you can spend your minutes on clients, not on wording.
